Events & Marketing Coordinator

Position Overview

VoX International is a leading destination marketing agency providing representation to global tourism organizations in Canada.

We are seeking an organized, creative, and detail-oriented Events & Marketing Coordinator to support the events and marketing production teams with the planning, promotion, and execution of company and client events and marketing initiatives. The ideal candidate thrives in a fast-paced environment, has strong project management skills, is solution oriented, and is passionate about delivering exceptional experiences for customers, partners, and stakeholders.

Key Responsibilities

Event Planning & Execution

  • Assist with planning, coordination, and executing company events for VoX clients such as sales / media missions, networking events, trade shows, promotional events. 

  • Manage event timelines, budgets, and logistics including venue selection, catering, registration, and audiovisual needs

  • Coordinate with vendors, partners, and internal teams to ensure seamless event delivery

  • Assist with event budgeting, invoices, contracts, documentation, and post-event reporting

  • Oversee on-site event operations and troubleshoot issues as they arise

  • Track event performance metrics and prepare post-event reports

  • Manage event registration platforms and CRM database

Marketing Coordination

  • Provide administrative support for marketing campaigns to promote events, products, and services

  • Coordinate the preparation and distribution of marketing materials, including email campaigns, social media posts, digital ads, and printed collateral

  • Assist with scheduling, timelines, and task tracking to ensure marketing projects are completed on time

  • Support content creation including event pages, newsletters, and promotional materials

  • Update website content and event pages as directed

  • Organize marketing assets and event materials

Communications & Collaboration

  • Liaise with marketing, account/PR managers, and administrative teams to coordinate event and marketing activities in support of business goals

  • Maintain relationships with vendors, sponsors, and partners

  • Support the team with general administrative duties related to marketing and events

 Qualifications

  • College or university degree in Marketing, Communications, Event Management, Business or a related field (or equivalent experience)

  • 2+ years of experience in event coordination, marketing, or a related role

  • Strong organizational and project management skills

  • Excellent written and verbal communication skills

  • Ability to manage multiple projects simultaneously

  • Proficiency with marketing and productivity tools (e.g., CRM platforms, email marketing tools, Microsoft Office Workspace)

  • Ability to travel occasionally and work flexible hours for events

Preferred Skills

  • Understanding of the Canadian tourism industry

  • Knowledge of marketing automation tools and analytics platforms

  • Basic graphic design or content creation skills

  • Budget management experience
